Step 1: Setup your Organization

Setup your Organization

During the creation of your organization, a web address is created that will be used by end users. Each organization has a unique subdomain, [mycompany].metaforms.org, that is set by the Administrator. The administrator is the user that creates the organization.

Users and co-workers can be invited to the organization by the administrator, or they can send a request to join it. Users can participate in functional groups created within the organization and having different duties and access rights.

Certain groups can be marked as ‘anonymous` in case a group is meant to be a marketing segment of people. These groups can receive forms/surveys as links sent by the organization.

Create Data Model

Datasets are created in the MetaForms Manager and represent groups of data points that help collect and analyze data for your business processes. Datasets can consist of unlimited fields of different types such as string, date, number, etc.

Repeatable entities are also designed and used in forms to speed up the form building process and save time. Datasets are essential for a customizable analytic layout where data results can be split and displayed in several grids.

Build Forms

With the MetaForms Manager, you can create and deploy forms in minutes, right from a web browser. There is no need for any additional software or plugins. Each form has to be linked to a corresponding dataset (data model).

You can completely customize the form’s layout with a wild range of elements/controls such as text areas for open questions, check boxes for multiple choice answers, date and signature fields, image and file upload, etc. You can also define whether the fields are visible or editable by users, and create rules and dependencies for each field.

Create a Project

Within the MetaForms Manager, projects containing forms and reports can be created and managed. Each project is associated with a specific dataset. Since datasets can consist of an unlimited number of forms, creating a project allows you to choose and use only several forms of a dataset.

Through the projects, the forms can be assigned to users and user groups. The collected data is displayed in tables that are composed of fields selected from the dataset, specified in data views.

A list of all surveys sent to users is available for the project, granting you an easy way to check the status of each form. Also, answers of each survey can be viewed in details, independently of its status.

Choose Assignments

In the MetaForms Manager, you can assign each active form of a project to specific users or user groups and collect responses from one or multiple questionnaires.

Surveys can also be assigned to groups created as anonymous in order to send the questionnaire link to anyone, even outside of your organization.

A set of permissions to interact with the form can be specified for each user. Users are informed of the forms they have to fill via e-mail.

Analyze Data (Manager)

The collected data is analyzed and results are shown based on the data views defined in the dataset. In the MetaForms Manager, results are displayed as a part of the project to help you analyze the data of the forms selected for the specific project.

You can consult and export the information depending on the data view you have created. Data analysis can be completely customized by you to suit your business needs by filtering the results based on certain questions.

Fill in forms

Forms and surveys are filled in in the MetaForms Navigator. They are grouped by project allowing you to easily find and complete them. Forms can be saved at any step of the progress. Data from the forms is sent to the project owners allowing them to analyze it.

Analyze Data (Navigator)

In MetaForms Navigator, reports let you analyze the collected data depending on the data view selected for the project. Using graphs and charts to display the data can help you better understand of specific results extracted from the completed forms.

Data analysis can be completely customized to suit your business needs by filtering the results based on certain questions.
